About the Role (12-month Contract)

Join our dynamic team as an Accounts Payable Office Services Specialist, where you'll play a crucial role in supporting our financial operations. Your expertise in ensuring timely and accurate processing of accounts payable transactions will be vital to our success. Additionally, you'll provide essential relief reception support, greeting visitors with a warm welcome, efficiently answering and directing phone calls, and managing general front-desk administrative tasks. This multifaceted position offers a unique opportunity to blend financial acumen with exceptional customer service skills, making you an indispensable part of our office environment.

As the Accounts Payable Office Services Officer, you will take ownership of the following key duties and responsibilities:

JDE AS400 (ERP) 

  • Performing supplier statement reconciliations 
  • Ability to produce and analyse supplier cash requirements and remittances 
  • Importing files from EDDI, MEX and Excel 
  • Ability to analyse and resolve exceptions 
  • Maintaining supplier address information 
  • Perform End of Period accruals  

EDDI (Electronic Invoice Processing System) 

  • Producing and recording file information for specified suppliers 
  • Liaising with suppliers to identify and resolve price and costing discrepancies 
  • Uploading weekly invoice files 
  • Perform ‘Goods in Transit’ review at month end 
  • Perform KFC & Taco Bell Cost of Sales analysis 

CONCUR 

  • Verifying and coding high volume manual invoices for specified accounts 
  • Matching invoices to purchase order process 
  • Effectively liaise with the CFL Maintenance team and Restaurant Management 
  • Identify, analyse and amend discrepancies 

Office Services and Relief Reception duties 

  • Electronic filing, photocopying and scanning
  • Data entry
  • Manage and direct incoming calls
  • Greet and direct visitors
  • Book and track couriers and manage deliveries (packing, lifting and clearing)
  • Order office and stationery supplies as required
  • Update spreadsheets and system databases
  • Maintain the office kitchen area, ensuring cleanliness and hygiene standards are met, packing and unpacking the dishwasher, cleaning the coffee machine, and regularly topping up kitchen supplies such as tea, coffee, milk, and utensils 

About You

To be successful in this role you will possess:

  • Previous experience in the QSR or Fast-Food industry desirable
  • Previous Accounts Payable or Office experience desirable 
  • Experience using Experience with Outlook 
  • Advanced MS Excel skills 
  • Strong reconciliation skills 
  • Strong time management skill with the ability to prioritise conflicting deadlines in a high-pressure environment  
  • Strong attention to detail  
  • Ability to quickly learn and adapt to new systems and technologies 
  • Ability to work autonomously and as part of a greater team 
  • Ability to liaise professionally with internal and external suppliers  
  • Clear and effective verbal and written communication skills
